USCG Award-Making Process Timeline

Approximately December to March 

  • Process is initiated by USCG with the release of the current fiscal year (FY) Final Allocation Chart 

  • The Final Allocation Chart can be released as early as December or as late as February 

    • Timeline is based upon the interagency transfer of funds from Interior to USCG 

    • Chart will be sent by USCG’s Grants Management Branch Chief 

  • USCG staff will reach out to states about their availability of funds. They will initiate the award-making process. 

  • BLAs may need to submit a revised budget based upon prior year carryover (if available and finalized) and the final allocation amount. This may also require an updated Grant Form Tool. 

  • Award documents include: 

    • Notice of Award - This is a DHS award document that shows the official obligation of the current FY allocation to your ASAP account. 

    • Grant Approval Letter - This is a USCG award document that shows the distribution of your allocation(s) to match the approved federal share of your budget. 

  • Coast Guard Terms & Conditions Financial Agreement - These are USCG specific terms and conditions that outline your responsibilities per program requirements and federal regulations. These should be reviewed and signed by the appropriate signatory.   

  • USCG must receive signed Terms & Conditions in order to approve future payment requests.
